GDPR compliance is not just about policies and processes — it is about people. Every member of your organisation who handles personal data needs to understand their responsibilities. The GDPR4All Training Academy provides a structured learning environment with pre-loaded courses, interactive quizzes, and progress tracking to ensure your team is knowledgeable and audit-ready.

Pre-Loaded GDPR Courses

GDPR4All comes with five comprehensive GDPR courses, each designed to cover a critical area of data protection:

  1. GDPR Fundamentals — an introduction to the regulation, its key principles, and its scope. Suitable for all staff as a foundation course.
  2. Data Subject Rights — a deep dive into the rights of individuals under the GDPR, including access, erasure, portability, and objection. Essential for anyone who handles data subject requests.
  3. Data Breach Management — how to recognise, report, and respond to data breaches, including the 72-hour notification requirement.
  4. Data Protection by Design and Default — embedding privacy into your processes, systems, and products from the outset, as required by Article 25.
  5. International Data Transfers — understanding the rules for transferring personal data outside the UK and EEA, including adequacy decisions, Standard Contractual Clauses, and Binding Corporate Rules.

Together, these courses contain 25 modules covering the full breadth of GDPR compliance.

Lesson Content

Each module contains structured lesson content rendered in a rich, readable format. Lessons include:

  • Explanatory text — clear, jargon-free explanations of GDPR concepts with practical examples.
  • Key definitions — important terms highlighted and explained in context.
  • Real-world scenarios — case studies and examples that illustrate how the principles apply in practice.
  • Best practice guidance — actionable advice that learners can apply immediately in their roles.

The lesson viewer renders content with full formatting support including headings, bold text, lists, tables, and blockquotes, ensuring that complex topics are presented in an accessible and well-structured way.

Courses are accessed from the Training section in the sidebar. Each course displays its modules as clickable lesson links, allowing learners to work through the material at their own pace.

Module Quizzes

At the end of each lesson, learners can test their understanding with a quiz. Quizzes are designed to reinforce the key concepts covered in the lesson and to verify that the learner has absorbed the material.

Quiz Structure

  • Each quiz consists of multiple-choice questions drawn from a bank of 175 questions across all courses, with 700 answer options.
  • Questions are specific to the module content, ensuring that quizzes are relevant and fair.
  • Learners see their score immediately after submitting the quiz.

Quiz Flow

  1. Start the quiz — from the lesson page, click the quiz button to begin.
  2. Answer questions — work through each question, selecting the best answer from the options provided.
  3. Submit — when all questions are answered, submit the quiz for scoring.
  4. Review results — see which questions you got right and which you got wrong, along with the correct answers.

Attempt History

Every quiz attempt is recorded and visible to the learner. The Quiz Attempt History section shows all previous attempts with their scores and dates, allowing learners to track their improvement over time.

Course Exams and Certification

Each course includes a final exam that tests knowledge across all modules in the course. The exam is accessed from the course detail page and covers material from every lesson.

Pass Threshold

The pass threshold is set at 80%. Learners must achieve a score of 80% or higher on the course exam to be considered as having successfully completed the course. This threshold ensures a meaningful level of understanding rather than a cursory familiarity with the material.

Certification

When a learner passes the course exam:

  • Their assignment status is updated to reflect successful completion.
  • The course detail page displays a pass badge next to the course.
  • Managers can see which team members have achieved certification for each course.

Learners who do not pass on their first attempt can retake the exam. There is no limit on the number of attempts, encouraging learners to study the material and try again rather than giving up.

Course Assignments

Training is most effective when it is targeted and tracked. GDPR4All allows managers to assign specific courses to specific team members.

Assigning Courses

Client Admins, Compliance Officers, and DPOs can assign courses to team members using the Assign Course button on the training dashboard or the course detail page. When creating an assignment:

  • Select the team member to assign the course to.
  • Set an optional due date by which the course should be completed.
  • The assignment appears in the team member's training dashboard immediately.

Assignment Statuses

Assignments progress through a clear lifecycle:

  • Not Started — the course has been assigned but the learner has not yet begun.
  • In Progress — the learner has started working through the course modules.
  • Completed — the learner has passed the course exam with a score of 80% or higher.
  • Overdue — the due date has passed and the course has not been completed.

The assignment status is calculated dynamically based on the learner's progress and the due date.

Progress Tracking for Managers

Managers have full visibility into their team's training progress through the Training Dashboard and the Assignments page.

Training Dashboard

The training dashboard provides a high-level overview of training activity across the organisation:

  • Total courses — the number of courses available.
  • Total assignments — how many course assignments have been created.
  • Completion rate — the percentage of assignments that have been completed.
  • Overdue assignments — the number of assignments past their due date.

Assignments List

The assignments list page shows all assignments with filtering and sorting options. Managers can see:

  • Who has been assigned which course.
  • The current status of each assignment.
  • Whether any assignments are overdue.
  • Completion dates for finished assignments.

Client Users see only their own assignments, while Client Admins, Compliance Officers, and DPOs see all assignments across the organisation.

Custom Training

Beyond the pre-loaded courses, GDPR4All supports custom training content:

Reseller-Created Training

Reseller partners can create industry-specific courses and webinar sessions tailored to their clients' sectors. For example, a reseller specialising in healthcare clients might develop a course on processing health data under Article 9, while a reseller focused on e-commerce might create training on cookie consent and direct marketing rules.

Custom training from resellers is available as an additional paid service and can include:

  • Bespoke courses with custom modules and quizzes relevant to the client's industry.
  • Live webinar sessions with scheduled dates, registration, and attendance tracking.
  • Recorded sessions that team members can watch at their convenience.

Requesting Custom Training

If your organisation needs training on a topic not covered by the pre-loaded courses, you can request custom training from your reseller partner. Common requests include:

  • Industry-specific GDPR guidance (healthcare, financial services, education, technology).
  • Role-specific training (for HR teams, marketing departments, IT staff).
  • Incident response drills and tabletop exercises.
  • Updates on recent regulatory developments or enforcement actions.

Webinar Sessions

The Training Academy also supports webinar sessions — live or recorded training events that supplement the self-paced course content.

Session Types

  • Live — scheduled events with a specific date and time. Team members can register in advance and attend on the day.
  • Recording — recorded sessions that can be watched at any time. Attendance is tracked when a team member marks the recording as viewed.

Session Lifecycle

Webinar sessions follow a status workflow: scheduled, live, completed, or cancelled. Managers can create sessions, manage registrations, and track attendance.

Tips for Effective Training

  • Assign courses early — do not wait for an incident to start training your team. Assign the GDPR Fundamentals course to all new employees as part of their onboarding.
  • Set realistic due dates — give learners enough time to work through the material thoughtfully rather than rushing to meet an unrealistic deadline.
  • Review completion rates regularly — check the training dashboard monthly to identify team members who are falling behind.
  • Use training as evidence of accountability — the GDPR's accountability principle expects organisations to demonstrate compliance. A record of staff training with documented pass rates is powerful evidence in an audit.
  • Refresh training annually — data protection is not a one-time learning event. Assign refresher courses or new modules annually to keep knowledge current.
